Annie Winter Nutrition – Terms & Conditions

Private Clinic Terms & Conditions:

These Terms & Conditions apply to all clinic services provided by Annie Winter Nutrition, including programmes, follow-up sessions, and consultations. By booking a session, you agree to these terms.

1. Programmes and Follow-Up Sessions

1.1 All clinic appointments are delivered as programmes (packages), which include both the consultation time and all preparation, analysis, and support undertaken outside of your sessions.

1.2 Standalone follow-up appointments are only available once a programme has been completed.

1.3 For all programmes and standalone follow-up appointments, the full amount is due in advance and must be paid in a single payment. Pay-as-you-go or instalment options are not available.

1.4 Because programme pricing reflects multiple sessions and significant out-of-session preparation time, unused sessions within any programme/package are non-refundable.

1.5 If you are unsure whether a programme is suitable, you are encouraged to book a free discovery call to discuss your needs before committing (see services page to book).

2. Exclusions / Limitations of Service

2.1 I cannot provide support to clients with the following conditions:

  • Current cancer diagnosis

  • Eating disorders (past or present)

  • Chronic kidney disease or clients on dialysis

2.2 These conditions require specialist care and supervision. I am unable to provide support in these cases, and clients should seek advice from appropriate healthcare professionals.

3. Booking Options

3.1 Appointments may be booked by:

  • Booking directly via the website, or

  • Emailing info@anniewinter.co.uk to arrange a suitable appointment time and request an invoice.

3.2 Bookings are confirmed once full payment has been received.

4. Cancellation Policy

4.1 These terms apply when cancelling before a programme has started or before a standalone follow-up appointment has taken place:

  • More than 7 days before the appointment: Full refund if the appointment cannot be rescheduled.

  • 3–7 days before the appointment: 50% refund.

  • Less than 3 days before the appointment: Non-refundable.

4.2 If I need to cancel an appointment, you will receive a full refund if it cannot be rescheduled.

4.3 All cancellations must be made in writing via email to info@anniewinter.co.uk.

4.4 Rescheduling Sessions Within a Programme:
If you need to reschedule a session that is part of a programme, please do so well in advance, following the same notice periods as outlined in 4.1. Sessions rescheduled with less than 7 days’ notice may be forfeited and will not be refunded or replaced.

5. Late Arrival

5.1 If you arrive more than 10 minutes late, your appointment will be cancelled, non-refundable, and cannot be rescheduled.

5.2 If you arrive up to 10 minutes late, the session may go ahead but will still finish at the scheduled time.

5.3 This policy ensures adequate consultation time and covers the cost of clinic room fees and preparation time.

6. Supplements & Laboratory Testing

6.1 Supplements and functional testing are optional and not included in the price of any programme or follow-up session.

6.2 Your personal budget and needs will be discussed during your consultation.

7. Payment Terms

7.1 For all programmes and standalone follow-up appointments, the full amount must be paid in advance, in a single payment.

7.2 Payment must be received at least 7 days before your appointment, and within 7 days of the invoice date.

7.3 Appointments are not confirmed until payment has been received.

8. Client Forms & Preparation

8.1 All intake and assessment forms must be completed and returned at least 7 days before your appointment date.

8.2 If forms are not returned by this deadline, I reserve the right to cancel or reschedule the appointment.

9. Concerns or Dissatisfaction

9.1 If you are unhappy with the service received at any stage, please contact me directly at info@anniewinter.co.uk.

9.2 I will discuss your concerns and work to find a suitable solution.

 

Corporate / Workplace Wellness Terms & Conditions:

​PAYMENT & CANCELLATION:

  • please email info@anniewinter.co.uk to enquire and make a formal booking

  • all bookings can only be confirmed once payment has been made in full.

  • all bookings are non-refundable. Date of workshops or mini clinic sessions can be moved with more than 5 days notice. Date changes must be requested in writing via email to info@anniewinter.co.uk

  • in the event of rail strikes, other travel restriction, or illness preventing Annie from reaching your premises for in-person talks, Annie reserves the right to reschedule the session or to hold the session virtually. The talk remains non-refundable and every effort will be made to avoid this occurance.

  • Travel costs (e.g. train tickets) will be expensed on your invoice as will travel time. The 1st hour hour of travel is free, time incurred thereafter is charged at £50 per hour.

 

STANDALONE WORKSHOPS:

  • must be booked within 3 months of payment.

  • workshops are available in person or virtually by Teams video presentation. For in-person workshops, the company must supply AV equipment - monitor & HDMI input & lead is required, power source, WiFi access, and anything else agreed to in booking questionnaire.

  • Annie will arrive 15 minutes early to set up and will need access to the space before the start time.

  • all workshops are interactive. Employees attending will need desks/tables/or clip boards and pens to be provided by the company so that employees can complete the accompanying worksheets. 

  • company representative must confirm number of employees attending in person workshops, at the time of booking.

  • for virtual workshops company representative will be responsible for emailing interactive employee worksheets to attending employees to complete online during workshop

 

MINI CLINICS:

  • minimum booking 6 sessions (can be spread across employees).

  • complex cases are advised to book a full 2 hr consultation. See Clinic page for details or get in touch for bespoke packages.

  • employees must send completed diet diaries at least 24 hrs ahead of mini clinic session booking

  • sessions consist of a simple dietary review and a brief discussion about nutritional aims and reasoning. Supplements cannot be prescribed in this short session and a full 2 hour consultation should instead be booked. Get in touch to discuss bespoke packages.

 

FUNCTIONAL TESTING:

  • tests are not intended for diagnostic purposes but rather for employees to get an indication of functional markers. If anythingof concern arises employees will be advised to contact their GP.

 

PACKAGES:

  • minimum booking 6 employees & all services to be used within 12 months of payment.

Online Shop Terms & Conditions:

REFUND / EXCHANGE POLICY:

  • Downloadable products are not able to be refunded or exchanged after they have been downloaded.

  • Please email info@anniewinter.co.uk if you experience any problems with your download and I will attempt to resolve your issue promptly.
